RentMate is operated by Lucky Earth Ltd, a company registered in Ireland (CRO: 769108), with registered address at 56 Main Street, Rathfarnham, Dublin 14, D14 E1E5.

We are the data controller for personal data processed through getrentmate.com and the RentMate platform.

2. Data We Collect

Account data

When you register: name, email address, role (tenant or landlord), and authentication credentials. If you sign in with Google, we receive your name, email, and profile photo from Google.

Tenant profile data

Employment details, income, references, move-in preferences, pet information, LinkedIn/Facebook profile links, and documents you upload (payslips, employment letters, references).

Property data (landlords)

Property address, type, rent, features, compliance information (RTB number, BER rating), and photos you upload.

Usage data

Pages visited, features used, search queries, application history, messages sent, and device/browser information.

Communications

Messages exchanged between tenants and landlords on the platform.

3. How We Use Your Data

We process your personal data for the following purposes:

  • Service delivery — providing the RentMate platform, matching tenants with landlords, facilitating applications and communications
  • Account management — creating and maintaining your account, authentication, password recovery
  • Compliance tools — providing TMD compliance checking, lease generation, and RTB assistance
  • Communications — sending transactional emails (confirmations, notifications), platform updates
  • Analytics — understanding how the platform is used to improve our service (with your consent)
  • Legal obligations — complying with Irish and EU law, responding to lawful requests
  • Marketing — promotional communications (only with your explicit consent, opt-out available at any time)

4. Legal Basis for Processing

Under GDPR, we rely on the following legal bases:

  • Contract performance — processing necessary to provide the RentMate service you signed up for
  • Legitimate interests — fraud prevention, platform security, service improvement
  • Legal obligation — compliance with Irish and EU law
  • Consent — analytics, marketing cookies, promotional emails (you may withdraw consent at any time)

5. Data Sharing and Third Parties

We do not sell your personal data. We share data only with the following processors, all operating under appropriate data processing agreements:

For transfers outside the EU/EEA (e.g. Vercel, Anthropic, Stripe), we rely on Standard Contractual Clauses (SCCs) approved by the European Commission.

We may also share data with landlords or tenants as part of the rental application process — this is the core purpose of the platform and is covered by your agreement to our Terms of Service.

6. Data Retention

  • Active accounts — retained for the duration of your account
  • After account deletion — personal profile data deleted within 30 days; aggregated/anonymised analytics data may be retained indefinitely
  • Messages and applications — retained for 12 months after the relevant tenancy ends or application is closed, then deleted
  • Financial records — retained for 7 years as required by Irish tax law
  • Legal holds — data may be retained longer if required by law or legal proceedings

7. Your Rights Under GDPR

As a data subject under GDPR and the Irish Data Protection Act 2018, you have the following rights:

  • Right of access — request a copy of your personal data
  • Right to rectification — correct inaccurate data
  • Right to erasure — request deletion of your data ("right to be forgotten")
  • Right to restrict processing — limit how we use your data
  • Right to data portability — receive your data in a machine-readable format
  • Right to object — object to processing based on legitimate interests or for direct marketing
  • Rights related to automated decision-making — not to be subject to solely automated decisions that significantly affect you
  • Right to withdraw consent — where processing is based on consent, withdraw it at any time

9. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the Data Protection Commission and affected users within 72 hours as required by GDPR.

RentMate is not intended for use by persons under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, please contact us immediately.

12. Artificial Intelligence (AI) Features

RentMate uses AI-powered features provided through the Anthropic Claude API. We are committed to transparency about how AI is used on our platform, in line with the EU AI Act (Regulation (EU) 2024/1689).

AI-powered features on RentMate

  • RTB & TMD Assistant — provides guidance on Irish rental regulations, tenant rights, and landlord obligations based on your questions
  • Lease Generator — creates draft tenancy agreements based on property and tenant details you provide
  • Support Chat — answers questions about how to use the RentMate platform

How AI processes your data

  • Your questions and the context you provide (such as property details or tenancy scenario) are sent to Anthropic's Claude API to generate responses
  • Anthropic processes this data in the United States under Standard Contractual Clauses (SCCs)
  • Anthropic does not use your data to train their AI models (per their commercial API terms)
  • AI conversations are not stored permanently — they exist only for the duration of your session unless otherwise stated

AI content labelling

All content generated by AI on RentMate is clearly identified. AI-generated responses include visual indicators (such as the "RentMate AI" label) so you always know when you are reading AI-generated content versus human-written content.

Limitations and human oversight

  • AI features provide guidance only — not legal, financial, or professional advice
  • AI-generated lease drafts should be reviewed by a qualified solicitor before signing
  • No automated decisions are made about your tenancy, applications, or account based solely on AI output
  • You may choose not to use AI features — they are optional and do not affect your ability to use the core platform

Your rights regarding AI

Under the EU AI Act and GDPR, you have the right to:

  • Be informed when you are interacting with an AI system
  • Request human review of any AI-generated output that affects you
  • Opt out of AI-powered features at any time
  • Request deletion of any data processed by AI features
